This role is responsible to provide comprehensive support to the Executive Director through effective coordination, stakeholder engagement, communication, and follow-up of key initiatives, ensuring business priorities are executed efficiently while upholding the highest standards of professionalism, discretion, and confidentiality. The incumbent is expected to operate with a high degree of autonomy and serve as a trusted representative of the Executive Director in facilitating collaboration, driving follow-through, and managing matters across the organization.
JOB DESCRIPTION
- Provide comprehensive support to the Executive Director in managing daily operational, administrative, and strategic priorities.
- Act as a key liaison between the Executive Director and internal or external stakeholders, ensuring effective communication and timely follow-up on matters requiring attention.
- Coordinate executive engagements, business meetings, strategic discussions, and key stakeholder interactions while ensuring all necessary preparations and follow-up actions are completed.
- Prepare reports, presentations, correspondence, meeting materials, briefing notes, and other documentation as required.
- Monitor, track, and follow up on action items, projects, and assignments to ensure timely completion and alignment with business objectives.
- Coordinate cross-functional initiatives and facilitate collaboration between departments to support organizational priorities.
- Represent the Executive Director in meetings, discussions, and engagements as delegated, and communicate executive directives appropriately.
- Handle confidential and sensitive information with the highest level of professionalism, integrity, and discretion, while undertaking strategic assignments and ad-hoc duties as required.
JOB REQUIREMENTS
- Diploma or Bachelor’s Degree in Business Administration, Management, Communications, Corporate Affairs, Project Management, or related disciplines.
- Minimum 5 years’ relevant working experience in Executive Support, Executive Office, Business Operations, Project Coordination, Corporate Affairs, Special Assistant, or similar roles supporting senior management
- Experience supporting senior management, directors, or C-suite executives will be an added advantage.
- Strong communication, interpersonal, stakeholder management, and coordination skills.
- Ability to manage multiple priorities, follow through on assignments, and work effectively in a fast-paced environment.
- Strong organizational, problem-solving, and analytical capabilities with attention to detail.
- High level of professionalism, integrity, discretion, and ability to manage confidential and sensitive information.
- Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Excellent command of written and spoken English. Proficiency in Mandarin will be an added advantage due to stakeholder communication requirements.
- Willingness to attend meetings, events, or business engagements outside normal office hours and travel when required.
